Collect every client's paperwork without chasing it by email

Give each client a portal where they upload their records, sign their engagement letter and see what they owe, and see exactly what you still need from them.

This is one way an accounting firm sets up its portal. Every page is a starting point: add, rename or drop pages with the AI page builder.

Tax season shouldn't be spent in your inbox

Most of the back-and-forth with clients is the same few things: what do you still need, did you get my file, can you resend that invoice. A portal answers those without anyone on your team writing an email.

  • Today: Documents arrive as email attachments, some twice, some never

With a portal: Clients upload to their own folder in Zoho WorkDrive, and you see what's still missing

  • Today: Engagement letters printed, signed and scanned back

With a portal: Clients sign in the portal with Zoho Sign, and the signed copy is filed for you

  • Today: Clients ask for invoice copies and payment details

With a portal: Clients see every invoice from Zoho Books, pay online and download the PDF

  • Today: Questions scattered across email, phone and messages

With a portal: Questions raised as tickets in Zoho Desk, with the whole thread in one place

What your clients see

A client's home page during tax season: what's still needed, a letter to sign and an invoice to pay.

  • Upload receipts, statements and tax documents to their own folder
  • Sign engagement letters and authorisations
  • See invoices, pay them online and download statements
  • Ask a question as a ticket and follow the reply

Client portal: what your clients seeClient portal

The pages in this example

Each page shows information from one of your Zoho apps, filtered to that client.

Documents

From Zoho WorkDrive

Each client has their own folder, organised however you like, for example by tax year. They upload into it from the portal and the files land in Zoho WorkDrive, where your team already works. Clients only ever see their own folder.

What we still need

From Zoho CRM

A list of the documents you're waiting for, kept on the client's record in Zoho CRM. Your team updates it as files come in, and the client sees the same list every time they log in.

Letters to sign

From Zoho Sign

Engagement letters and authorisations sent from Zoho Sign appear in the portal, ready to sign. Everything the client has already signed stays there for them to find.

Invoices

From Zoho Books

Invoices and payments come straight from Zoho Books. Clients see what's due and what's overdue, pay open invoices online and download any invoice as a PDF.

Questions

From Zoho Desk

Instead of emailing whoever they spoke to last, clients raise a question in the portal. It arrives in Zoho Desk linked to their record, and they follow the reply in the same place.

How setup works

Our team works through each step with you, and keeps helping afterwards. Included on every plan.

  1. Connect Zoho

Connect the Zoho apps you already use, usually CRM, Books, WorkDrive and Sign, and choose which information clients should see.

  2. Build the pages

Describe each page to the AI page builder, or let our team set up a starting point based on how your firm works. Preview it as any client before publishing.

  3. Invite your clients

Invite clients a few at a time or all at once. Each one logs in with their own email and sees only their own records, files and invoices.

Questions accountants and bookkeepers ask

Can a client ever see another client's documents?

No. Each portal user is linked to their own contact and account records, and every page, list and folder is filtered to those records before it reaches them. Each organisation's data is also kept in a database of its own.

Do we have to move our files out of Zoho WorkDrive?

No. Files stay in WorkDrive. The portal shows each client their own folder, and anything they upload goes straight into it.

Do our clients need a Zoho account?

No. You invite them from SecureSync and they log in to your portal with their own email address.

Can we set it up differently for individuals and business clients?

Yes. You can create a profile for each type of client and choose which pages, sections and fields each profile sees.

Who sets it up?

Our team works through setup and onboarding with you, and keeps helping afterwards. It's included on every plan.

  • Two-factor sign-inPortal users and your team can sign in with an authenticator app.
  • A full audit logEvery change, sign-in, export and restore is recorded.
